Its our commitment to you that we continue to improve and prosper within the dental community. Front Desk Perform clerical duties using specific knowledge of dental terminology and procedures. Duties may include answering phones, making phone calls, scheduling appointments, communicating with patients, insurance companies, laboratories, etc. Compiling and recording medical charts, reports, and correspondence. Reported job titles: Receptionist/Greeter, Check In Clerk, Check Out Clerk, Scheduler, Insurance Coordinator, Patient Coordinator Essential Duties and Responsibilities: Operate (multi line) telephone switchboard to answer, screen, forward or make calls; providing information, taking messages, scheduling appointments/lab cases, appointment reminders, post-operative calls to patients Provide information about establishment, such as location, hours of operation, or services provided Greet persons entering establishment; check into computer Operate office equipment, such as phone voice mail messaging systems, copy machines, facsimile machines and use word processing, spreadsheet, or other software applications to prepare reports, invoices, financial statements, letters, case histories, or medical records Scan identification, insurance card, miscellaneous items into Document Center in the correct medical file Hear and resolve complaints from patients Receive payment for co-pay, non-covered services, balances due, etc. and record receipts for services Transmit information or documents to colleagues, patients, insurance companies, etc., using computer, mail, or facsimile machine Collect, sort, distribute, or prepare mail, messages, or courier deliveries Perform duties, such as taking care of plants or straightening magazines to maintain lobby or reception area; maintain beverage center Schedule and confirm patient appointments Maintain medical records, signed treatment plans, technical library, or correspondence files Compile and record medical charts, reports, or correspondence, using computer Receive and route messages, documents and items such as laboratory results, lab cases, etc. to appropriate staff Interview patients to complete documents, case histories, or forms, such as intake or insurance forms Complete insurance and other claim forms Print route slips and supply all appropriate information (balances, maximums, fluoride coverage, etc) Conducting pre-authorizations as needed Checking out patients, closing out appointments, and sending insurance claims (with or without) attachments Maintain new patient gifts, welcome cards, referral promotions; re-order through Marketing Department as necessary Balance deposits daily. Ensure timely deposit of funds into bank account. Process insurance payments and ensure timely collection from patients and insurers Maintain knowledge of dental insurance and use independent judgment regarding coverage and insurance claims Authenticate insurance verification/eligibility for patients being seen next business day Examine coverage tables ensuring the maximums and deductibles are correct Validate insurance breakdown (Blue Sheets) for new patients and updating current patients Manage petty cash receipts and cash on hand daily; submit reimbursements monthly Contacting patients to obtain updated insurance information when verifications indicate terminated insurance Know and practice the appropriate verbal skills to use with patients when explaining polices, such as cancellation policy, collection practices, insurance coverage, etc. Knowledge: Minimum 1 year experience in a fast paced dental office Minimum high school diploma; Associates Degree in Business or Healthcare Administration preferred Skills: Excellent computer skills and ability to use Dentrix efficiently. Must be able to comfortably and efficiently handle multiple deadlines and task assignments. Must always represent the practice in a professional, pleasant, and cooperative manner both at work and outside of work. Extreme attention to exceptional patient care. Must be able to work both independently and cooperatively in team settings. Additional Notes: Employee must be available during all hours of business operations, currently: Tuesday 12pm-6pm, Wednesday 8am-4pm and Friday 7:00am to 1:00pm, Monday and Thursday hours negotiable.
